Accountant at LVCT Health
LVCT Health is an indigenous Kenyan non-governmental and not-for-profit organization established in 2001. We are driving Kenya towards HIV prevention, with an ultimate goal of reducing HIV infections to zero. We offer integrated HIV services through development of models that are scaled up to the national models. We also carry out sexual and reproductive health research - translating our research to policy and practice; providing evidence for HIV policy reforms and service delivery; and developing capacities of indigenous organizations in building sustainable human resources for community HIV Prevention. We give special attention to those with greatest vulnerability to infection and with special service needs - including survivors of sexual violence, persons living with disabilities, men who have sex with men, Youth and Sex Workers. Our offices are in Nairobi, Western Region, Eastern and Central Region and Rift Valley.
Job purpose
The Accountant will be directly responsible for the financial management, accounting and sound internal controls system of LVCT Group.
Roles and responsibilities
Finance
- Compilation of accurate financial reports for stakeholders including the Management Team, Directors and Board of Directors.
- Prepare business performance forecasts that will inform on the financial stability of the enterprise and advise the management and the Board of Directors accordingly.
- Develop pricing tools and models for the services/goods provided by the enterprise
- Provides guidance on the cost pricing of the services/goods to maximize on returns and ensures that they make business sense
- Cashflow management including compilation of monthly cash flow projections in a bid to ensure availability of adequate cash to meet the Enterprise’s programmed obligations and commitments.
- Prepare monthly management accounts and other reports, including analytical review and in-depth analysis
- Review the teams’ targets verses actual performance for guiding performance bonus calculations as applicable
- Ensure that monthly bank and Petty cash reconciliations are prepared on a timely and accurate basis.
- Support the month-end financial reporting closing procedures by ensuring that all monthly transactions are posted in the accounting system before the cut-off date.
- Collaboratively work with the teams to ensure month-end and year-end closing procedures are carried out according to the laid down procedures.
Accounting function
- Review and approve all purchase requests ensuring adequacy of budgets.
- Monitor and ensure that the General Ledger is updated on a continuous basis through daily posting of transactions.
- Ensure that all provided services are invoiced, paid for and receipted on a timely and accurate manner.
- Staff Imprest management, ensuring that imprest accounts are reconciled on a monthly basis, liquidated according to the policies, compile and share accurate aged analysis for decision making. Ensure the payments are processed on a timely and accurate basis, including reviewing and uploading to banking platform.
- Vendor management, ensuring all invoices are received and paid on a timely basis.
- Debtors/Receivables management, ensuring all receivables are paid on a timely and accurate basis.
- Prepare monthly Payable and Receivable’s aged analysis reports and ensure necessary action is taken.
- Reviews Payrolls for temporary hires for accuracy ensuring that payments are supported by executed contracts and Activity Logs.
Budgets
- Preparation of annual budgets for approval by the management and Board of Directors.
- Ensure the approved budgets are uploaded in the accounting system as applicable.
- Preparation of budget performance reports for the management and the board of directors for decision making.
- Supports the teams in developing budgets for emerging business opportunities/proposals and in developing and monitoring of activity budgets ensuring use of correct budget template and cost factors.
- Capacity building of the team on budget development and monitoring.
- Preparation and dissemination of monthly budget verses expenditure reports.
Systems
- Enhance the internal control system through development of Policies, SOPs and reporting Templates and sensitization the teams on the same. Review the business processes to ensure optimization of efficiencies and client’s satisfaction.
Education/Experience Requirements:
- University Degree in Business Administration, Accounting, Finance or related field from a recognized university.
- Certified Public Accountant (CPAK)/ACCA.
- Minimum of 5 years’ post qualification experience in a private sector busy Finance /Accounting environment.
- Proficiency in QuickBooks. Use of ERP Dynamics 365 Business Central is an added advantage.
- Experience using MS Windows and MS Office packages (Excel, Word, PowerPoint).
- Excellent and advanced Microsoft Excel skills (Pivot tables, vlookups etc.) and analytical skills.
